Job Purpose

ENAB8 - REGIONAL OUTSTATIONS ENGINEERING

The Senior Admin Assistant will provide comprehensive second tier support to the Administration Controller in relation to administrative activities for the department, ensuring that the department and its internal and external customers are dealt within professional, timely and courteous manner. Ensures that all administrative work undertaken complies with quality standards and is in accordance with department procedures and Company policy.

Generic

In this role you will:

  • Operate a comprehensive filing system to capture all outstation staff personnel and training details, station delays and Engineering Safety reports as well as Engineers licence and company approval.
  • Control all outstations contract files for service providers and customers, ensuring presence and validity through liaison with the Manager Regional Outstations Engineering control the renewal process of all contracts. Ensure the distribution of new and revised contracts follows started department procedures.
  • Monitor that all monthly reports are received in a timely manner, are complete and detailed enabling an accurate understanding in real-time to enable the management to review and react to advise trends.
  • Manage and maintain stock of all office stationary by raising Iproc forms and Request For Purchase for replenishment of the stock. Highlight to the Admin Controller areas of concern to stock or quality of safety equipments.
  • Under the direction and supervision of Admin Controller ensure relevant documents are provided by the staff to process the Airport passes (Temporary / Renewal / Permanent) in timely manner. Assist Admin controller with any Adhoc reports that needs to be done.

Specific

Outstations:

  • Monitor and revise all outstations ramp charts to reflect EK operating plan and customer flight operations showing details of aircraft type, arrival and departure times. These charts to be amended due to seasonal changes in operating times, aircraft changes, frequencies of service and new destinations.
  • Update the station delay detail database to reflect the performance of all stations in their ability to manage delays.
  • Produce the outstation staff training programs schedule to reflect classroom attendance and On-Job training for basic and type courses.
  • Coordinate and liaise with Manager Regional Outstations Engineering and Finance department to generate station budget proposals covering manpower, capital expenditure, income/expense and leased items budget.
  • Coordinate with MCC regarding new and existing stations contacts detail updates as well as the certification and staff availability and capability are accurate to support day to day requirements.

Qualifications & Experience

To be considered for the role, you must meet the below requirements:

  • 10 Years schooling or equivalent.
  • Administration: Minimum 3+ Years of experience in Administration.
  • Sound knowledge of company administration systems.
  • Must be fully proficient in the use of MS Office Applications such as Word / Excel / Power Point / Outlook.
  • Completion of basic level courses in Airline/ Airport/ Ground handling is preferred.
