Job Description

We are seeking a highly enthusiastic, detail-oriented and organized (Senior Project Coordinator / Junior

Project Manager) to join our dynamic team. The ideal candidate will be essential in helping the Head of

Operations carry out and complete a variety of projects and guarantee that cross-functional stakeholders

are involved in advancing projects objectives. This position requires strong communication skills and the

ability to manage multiple tasks simultaneously while collaborating with various stakeholders.

Job Responsibilities

  • Assist the Head of Operations in all administrative functions and project tracking.
  • Coordinate project schedules, resources, equipment, and information.
  • Prepare and issue daily/weekly/monthly reports on agreed cut-off dates to assess the project

progress, shortfalls, concerns etc.

  • Maintain comprehensive projects documentation, plans, and reports.
  • Assign tasks to internal teams.
  • Make sure that clients’ needs are met.
  • Ensure timely response to requests for services.
  • Monitor project progress and handle any issues that arise.
  • Manage relationships with operations teams.
  • Ensuring KPIs, SLAs, SOPs are in place and targets are met at all levels.
  • Take the necessary action regarding audit and client feedback.
  • Ensure Client receiving the service correctly and ensure obtaining the client receipt report

correctly.

  • Act as the point of contact and communicate project status to all stakeholders.
  • Use tools to monitor working hours, plans and expenditures.
  • Ensure standards and requirements are met through conducting quality assurance tests.
  • Coordinate with contractors, vendors, and stakeholders to ensure projects are completed on time and within budget.
  • Report and escalate issues to the Head of Operations as needed.
  • Organize, attend, and participate in stakeholder meetings.
  • Ensure project deadlines are met.
  • Provide regular reports summarizing progress against targets set at initiation phases.

Job Requirements

  • Bachelor’s degree in business administration, Engineering, Project Management, or a related field.
  • 5 -10 years of experience in project coordination and management, preferably within the

facilities management, administration, operations management.

  • Fluent in English (both written and spoken) at a near-native or native level.
  • Hands-on experience with project management tools.
  • PMP / PRINCE2 or CAPM certification is a plus.
  • Experience in project management, operations, executive assistance, or related roles (preferably

in startups, facility management, operations, or dynamic environments).

  • Strong organizational skills—able to prioritize, structure, and manage multiple tasks and projects

simultaneously.

  • Experience preparing professional reports, presentations, and project documentation.
  • Eagerness to learn and grow into a more senior role over time.
  • Strong client-facing and teamwork skills.
  • Proficient in Microsoft Office Suite, with strong capabilities in Excel and Project Management

software.

  • Ability to work under pressure and meet deadlines.
