Responsibilities

  • For answering the telephone, transferring calls, taking accurate messages.
  • Recording customer requests & providing information’s on available facilities.
  • Greeting the customers in a pleasant way and giving information about the facility.
  • Ensure neat, clean & tidy front desk atmosphere.
  • Ensuring all the facilities in the main reception area are in working condition and making necessary arrangements for any maintenance required.
  • Performing administrative and clerical duties, such as opening and distributing mail. Filing, data entry and preparation of necessary documents.
  • Providing special care to the VIP guests and making sure their experience the best of facilities.
  • Provide customers with product and service information.
  • Identify and escalate priority issues.
  • Route calls to appropriate resource.
  • Follow up customer calls where necessary
  • Coordinating with the QHSE Department for site related QHSE issues.
  • Assist the site / departmental manager to execute the project/site day to day QHSE requirements.
  • Provide assistance in implementation of QHSE management system to achieve the organizational goal.
  • Coordinate with other departments for QHSE resources necessary for the workgroup.
  • Assist the site/departmental manager to take corrective actions upon identification of the non
  • conformance.
  • Report all near misses, dangerous occurrences and incidents.
  • Assist the team in preparing incident reports.
  • Assist the site/departmental manager to assess and execute the QHSE training requirements.
  • Participate in the site QHSE meeting.
  • Participate in the site level hazard identification and risk assessment team.
  • Ensure all the workers under his/her management are aware of the internal QHSE alerts.

Authority

  • To use site / department resources under guidance of Site Manager.
  • Participation in internal meetings as required.
  • To access the site / department files & maintain the documents & records.
  • To coordinate with QHSE & other departments on QHSE issues.
  • Stop any unsafe activity.
  • Undertake support services to correct the unsafe condition at the site/department level.
  • Escalate to management on safety concerns.

Accountability

  • Maintenance of files, documents & records of the site operation.
  • For following the company QHSE regulation
  • For data collection and document maintenance
  • For reporting incidents."
