Issue, receive, track, store and monitor documents using applicable procedures to register documents and maintain databases.
Document and coordinate the flow of documents between the division/department and other Noatum Logistics ME sectors and departments, and other organizations
Perform accurate and timely processing of the department’s documentation
Assist with the review and upgrade document control, management, naming, numbering and revisions.
Prepare Excel workbook and PowerPoint presentations Implement and maintain document control processes and systems.
Ensure the proper classification, filing, and retrieval of documents.
Maintain a master document register and ensure it is up to date.
Guarantee that only the latest approved versions of documents are in use.
Track document revisions and ensure that changes are properly recorded and authorized.
Distribute updated documents and ensure obsolete versions are marked or removed.
Facilitate effective communication and coordination regarding documentation across the team.
Coordinate the flow of documents between stakeholders, including internal teams, clients, and contractors.
Act as the main point of contact for document-related queries and issues.
Provide accurate and timely reporting on document status and issues.
Generate reports on document control activities, including document status, distribution, and outstanding issues.
Monitor document workflows to ensure timely processing and approvals.
Provides technical guidance to lower-level staff assigned to the Document Control section.
Prioritizes, assigns and monitors workload to ensure documents are delivered/provided to staff as per schedule. Establishes clear/concise work standards and goals for staff.
Resolves non-routine help desk issues and inquiries related to document controls (e.g., resolving access issues).
Reviewing the documents for Document Control Compliance, Submitting the requeued Documents and tracking the workflows
Provides on-demand request services to managers, functional group leads, and staff. Some examples: (1) providing invoices to finance Director or reports to managers on anticipated document control support requirements; (2) creating/formatting customized electronic libraries in SharePoint for collaboration and document management.
Identifies and coordinates document control resources to support program team members, and serves as a liaison to client counterparts.
Administers and maintains mailbox traffic, electronic documentation, incoming record logs, project library, distribution lists, and permissions and security groups.
