Position Overview:
The Front Desk Administrator is the first point of contact for visitors and employees, responsible for managing front desk operations efficiently. This role includes handling reception duties, administrative support, and ensuring a welcoming and professional environment.
Key Responsibilities:
Reception & Customer Service
- Greet and welcome visitors in a professional and friendly manner.
- Answer, screen, and direct phone calls to the appropriate departments.
- Respond to inquiries via phone, email, or in person and provide necessary information.
Administrative Support
- Maintain a clean, organized, and presentable reception area.
- Manage incoming and outgoing mail, packages, and deliveries.
- Schedule and coordinate meetings, appointments, and conference rooms.
- Assist with administrative tasks such as data entry, filing, and document preparation.
Office Coordination
- Maintain office supplies inventory and place orders as needed.
- Coordinate with vendors, building management, and service providers.
- Assist in organizing company events and internal activities.
Security & Compliance
- Monitor and control visitor access, ensuring proper check-in and security protocols.
- Maintain records and logs for visitors, deliveries, and office equipment usage.
- Support HR and management with policy enforcement related to front desk operations.
Qualifications & Skills:
- Proven experience as a Front Desk Administrator, Receptionist, or similar role.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and office management software.
- Professional appearance and customer-focused attitude.
- Ability to handle confidential information with discretion.
Education & Experience:
- High school diploma or equivalent (Bachelor’s degree preferred).
- 1-3 years of experience in an administrative or front desk role.
