A well-reputed company is seeking a highly organized and proactive Executive Secretary to provide comprehensive administrative support to senior executives. Based in Riyadh, Saudi Arabia, this full-time role offers a unique opportunity to contribute to the efficient operation of a leading company. The ideal candidate will be a skilled communicator with exceptional attention to detail and a proven ability to manage complex schedules and prioritize tasks effectively.

Responsibilities

  • Manage and maintain executives' diaries, scheduling meetings, appointments, and travel arrangements.
  • Prepare correspondence, presentations, and reports, ensuring accuracy and adherence to company standards.
  • Handle confidential information with discretion and professionalism.
  • Screen and direct phone calls, emails, and other communications.
  • Coordinate and manage meetings, including booking meeting rooms, preparing agendas, and taking minutes.
  • Organize and maintain filing systems, both physical and electronic.
  • Provide general administrative support, such as processing expenses, ordering supplies, and managing invoices.
  • Liaise with internal and external stakeholders, including clients, suppliers, and other departments.
  • Proactively anticipate the needs of executives and take initiative to ensure smooth and efficient operations.

Qualifications

  • Proven experience as an Executive Secretary or in a similar administrative role.
  • Excellent organizational and time management skills, with the ability to prioritize and multitask effectively.
  • Strong communication skills, both written and verbal, in English. Arabic language skills would be advantageous.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
  • Ability to handle confidential information with discretion and maintain a high level of professionalism.
  • Proactive and self-motivated, with the ability to work independently and as part of a team.
  • Strong problem-solving skills and the ability to handle challenging situations effectively.
  • A flexible and adaptable approach to work, with a willingness to undertake a variety of tasks.
