SCOPE
The Finance Coordinator ensures the professional and smooth operation of the Finance department through assisting the Director of Finance and his team in all the related administrative issues and keeping their diaries.
OVERALL OBJECTIVES
The job of
Finance Coordinator is executed satisfactorily when: The Administrative Assistant coordinates, organizes, and channels all efforts through the Finance department to ensure well-organized communication and full support to the Director of Finance and the rest of the team when necessary and applicable.
Key Responsibilities
MAIN RESPONSIBILITIES:
- Strong support to the Director of Finance with all office administration
- Daily organization of all incoming mail, calls and tracing file.
- Ensure that calls are screened and dealt with in an appropriate way.
- Project organization with guidance by the Director of Finance.
- Create and maintain filing system for the department and help in snagging lists during the pre-opening phase.
- Organize travel arrangements for the Director of Finance.
- Record minutes of all meetings and ensure that they are taken at every meeting and circulated for further communication with proper follow up on the implementation.
- Schedule and organize internal meetings when and as required during the monthly schedule.
- Liaise purchasing requirements for the Department with the hotels' Purchasing Department.
- Prepare presentations and other documents required for the Director of Finance
- Ensure the strict confidentiality of information passing though the office.
- Perform all duties and responsibilities in a timely and efficient manner in accordance with established company policies and procedures.
- Understand and strictly adhere to the rules & regulations established in the employee handbook and the hotel's policy on fire, hygiene, health & safety
- Ensure that all potential and real hazards are reported and rectified immediately.
- Additional responsibilities and tasks can be added at any time according to the needs of the business and of the hotel.
Skills, Knowledge and Expertise
NATIONALITY: Eligible for a working permit in country of hire.
EDUCATION: Bachelor of Commerce.
EXPERIENCE: To fill the position, the following is required:
- Minimum two 2 years in the same role, preferably with a 5* hotel chain.
LANGUAGE: Ability to work and communicate in a multinational environment:
- Local language – excellent oral and written skills.
- English – excellent oral and written skills.
- Additional language – beneficial.
TECHNICAL COMPETENCIES: Computer literacy adapted to the field of Food & Beverage:
- Knowledge of general accounting principles.
- Good math skills.
- Knowledge of computerized accounting software and Excel.
- Basic bookkeeping knowledge.
- Knowledge of basic economic and statistics principles.
- Knowledge of financial statements and how the numbers relate.
- Depending on the job there are also specialized areas such as tax laws, employment law, business law and/or cost accounting principles that could be required.
- Ability to operate computer and office equipment.
- Proficiency in Excel and Word.
