As part of our projects’ activities in Egypt, we are looking for a Project Coordinator / Assistant to play an essential role in providing administrative assistance to the project management team and site team while acting a key point of contact to facilitate site mobilization locally. Within this role you will lead and support administrative process to be performed locally and related to site mobilization and operations, HR process, EHS and accounting. Initially there will be frequent travel to Cairo however after the initial mobilization the role will most likely be based in El Dabaa.

As the project coordinator you will be managing and protecting sensitive information and confidential data with rigor, discernment and attention. Additionally you will ensure full compliance and contribute to promoting an ethical and compliant work environment

Responsibilities

Initially and in coordination with the Construction & Commissioning team, HR function and our external third party provider, you will be responsible for:

  • Ensure the compliance with international mobility process and requirement as per guidelines provided by our third party provider
  • Facilitate and coordinate the international mobility process in partnership with our third party provider to ensure on-time site mobilization of identified employees.
  • Lead and coordinate locally the Egypt social security registration process together with the project team and our third party provider
  • Collect necessary documentations and translations required to perform international mobility process and social security registration as per instructed and perform administrative process with local institutions such as embassy.

In general, you will play an essential role in facilitating on-site work by providing administrative assistance on various topics Other key responsibilities of the role will include;

  • Identify and negotiate with local hotels and service providers in compliance with our sourcing guidelines
  • Support the mobilized construction & commission team in local daily life and in compliance with the Group’s security guidelines. For example, organize drive services / commute from hotel to site.
  • On a monthly basis, coordinate and process timesheets by requesting mobilized site-team to complete their timesheets, ensure customer’s signature, consolidate timesheets and share them with the project team for processing.
  • Organize, plan and optimize business schedules and trips (meetings, trips, visits, absences, etc.), while respecting the company's travel policy and the security rules in force. This includes visa application procedures and expense report management
  • Anticipate and gather the necessary information to establish official documents according to the company's rules (visas, passports, insurance, invitation letters, expatriation files, vaccinations, etc.).
  • Write, format and keep up to date letters, documents, report and presentations as needed. Create and maintains a logical electronic filing system.
  • Support site team for weekly/monthly reporting to ensure rigorous tracking of activities done in customer planning. Prepare and share requested financial reports.
  • Anticipate and ensure the proper functioning of the office, equipment, IT supplies and consumables of the team mobilized on-site.
  • Process orders, expense reports and invoices for the site in compliance with the integrity rules in force and ensure follow-up.
  • Plan and organize meetings and/or events for the site and project management teams locally.
  • Be the preferred point of contact for internal and external stakeholders. Anticipate the arrival, welcome and guide internal and external contacts (customers, visitors, etc.) while conveying the company's image.
  • Act as a key point for EHS on-site and in the country. You will qualify for workplace first aider and will ensure compliance to local EHS regulations on-site and in the offices. You will act a first point of contact for managing any safety alerts locally.
  • Do the translation in/from Arabic of documents to be shared with Egyptian administration.

Qualification and Experience

  • Strong experience as an site coordinator or project coordinator or similar role in an international company.
  • High school diploma or equivalent;
  • Experience in power industry and site construction environment would be preferred by any high regulated industry will considered
  • Good knowledge in EHS
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook.)
  • Able to speak and write in Arabic and English
