The Receptionist and Office Services role is a vital position within an organization, serving as the first point of contact for clients, visitors, and employees. This role involves a combination of administrative tasks, customer service, and office management duties to ensure the smooth operation of the office
We will count on you to:
- Front Desk Management
- Greet and welcome visitors and clients in a professional and friendly manner
- Receiving calls and transferring to the correct consultant/person
- Updating contact list and emailing v-cards to colleagues
- Informing employees through e-mail of any messages left for them by their callers
- Manage the reception area, ensuring it is tidy and presentable
- Provide information and assistance to clients and visitors regarding services and office policies.
- Address inquiries and resolve issues promptly and professionally.
- Couriers Management
- Arranging company courier/mails
- Tracking of inbound and outgoing courier /mails
- Office facilities
- Ordering business cards for the team
- Managing conference room bookings
- Managing the office facilities with the vendors
- Process office invoices for payment
- Maintaining and ordering supplies - coffee, water, marketing materials, stationeries (filing room supplies, letter heads, envelops) in coordination with office boy
- Provide back-up AA support within LOBs
- Coordinate office maintenance and repairs with service providers.
- Admin duties for Support function
- Flights, hotels, cars and restaurant bookings
- Printing and binding of documents for clients
- Work closely with other departments to ensure effective communication and support.
- Assist team members with various projects and tasks as needed.
