Our Client:

Our client is seeking a pivotal member of their management team, the Office & HR Operations Manager. You will play a crucial role in ensuring the seamless functioning of our office operations, human resources, IT systems, and financial processes.

This individual will be responsible for overseeing and optimizing all administrative and operational functions, creating an efficient and productive workplace, and supporting the company’s cultural and strategic initiatives.

The ideal candidate is a highly organized, proactive, and detail-oriented leader who thrives in a dynamic environment.

They will work closely with leadership to enhance office efficiency, manage HR policies, support recruitment and employee engagement, oversee IT and system processes, and drive financial and compliance-related operations.

Your Responsibilities:

HR Management:

  • Oversee all HR administration functions, ensuring seamless onboarding and offboarding, efficient leave management, documentation compliance, and employee issue resolution.
  • Lead the recruitment function, including job description management, hiring processes, and external agency coordination.
  • Oversee all PRO-related hiring duties, working closely with internal teams and external service providers.
  • Partner with accounting for salary and payroll preparations, ensuring accuracy, compliance, and timely execution.
  • Oversee the performance review process, ensuring structured, fair, and consistent evaluations across the organization.
  • Source, procure, and manage employee healthcare programs to support staff well-being while ensuring cost-effectiveness.
  • Champion and integrate the company's cultural values into business strategies, policies, and employee engagement initiatives.
  • Act and lead as a Culture Contributor, fostering an inclusive, engaging, and high-performance workplace environment.

Office Operations:

  • Oversee the management of all office operations, including utilities, supplier invoices, and office supplies, ensuring alignment with company requirements and budgets.
  • Oversee all company travel arrangements, meetings, and events to ensure efficiency and effectiveness ensuring in line with budgetary requirements.
  • Oversee the management of office leases, Trade License renewals, building relationships, and vehicle logistics, ensuring compliance and smooth operations.
  • Continually create a welcoming and organized office environment, including guest reception and capacity planning.
  • Work with Marketing to oversee the company's participation in industry awards to enhance brand visibility, credibility, and support business development goals.
  • Support and organize company-wide and leadership management meetings efficiently and within budget.

IT & Systems Management:

  • Work with IT to maintain and optimize HR and recruitment systems, including ZOHO, Google Drive, and other internal tools.
  • Oversee asset management, IT infrastructure, and system training to enhance productivity.
  • Manage and oversee company software systems (e.g., Asana) and oversee procurement for hardware and software needs.
  • Lead the development and execution of Standard Operating Procedure (SOP) training programs to ensure operational efficiency and compliance.

Finance & Compliance:

  • Manage and oversee the office operational and HR budget, ensuring financial efficiency and alignment with company objectives.
  • Collaborate with accounting to ensure payroll accuracy and compliance with all financial and employment regulations

Your Qualifications:

  • Bachelor's degree in Human Resources, Business Administration, or a related fields
  • Professional HR certification (e.g., SHRM-CP, PHR) is a plus.
  • Minimum of 3-5 years of experience in HR management and office administration.
  • Proven track record in handling recruitment, employee relations, and performance management.
  • Strong organizational and multitasking abilities
  • Excellent English communication skills
  • Proficiency in HR software and Microsoft Suite
  • Knowledge of labor laws
  • High level of integrity and confidentiality
  • Strong problem solver and decision marker
