The Role

To provide an efficient and proactive admin support service to the International Residential Sales team in the Dubai office. The successful candidate will be a very strong team player with excellent organisational, IT and communication skills (both verbal and written) with the ability to work under pressure and meet deadlines. The candidate will have experience of working in a busy environment and be able to provide a high level of service to, and establish rapport with, clients and Savills’ colleagues. A self-motivated individual able to demonstrate reliability, organisational skill, flexibility and initiative.

Key Responsibilities

  • Providing full administrative support including but not limited to: creating and editing of spreadsheets, compile presentations and assist with marketing proposals
  • Assist in compiling reservation forms and sending to all parties involved.
  • Invoicing administration, processing purchase invoicing and handling accounts queries, management of disbursements, updating team billings sheet, updating sales status sheets, chase bad debts.
  • Support marketing in project mail outs and establishing workflow for effective lead distribution.
  • Maintaining CRM Hubspot database; adding and updating applicants, distributing leads
  • Redirect or take messages efficiently and accurately, sending out property details and booking viewings when required.
  • Anti-Money Laundering Compliance; ensuring all files are compliant with latest transactions and new third party agreements
  • General office administration including: requesting updated price lists from developers, binding, photocopying
  • Diary management, travel arrangements
  • Assist in event organisation with venue logistics, marketing and attendee registration
  • Send regular mail outs to database with the latest Savills Research

Skills, Knowledge And Experience

  • Previous experience in secretarial / administrator role
