Job Description

Day- to-day operations:

  • Preparing Daily Manpower Distribution Plan / Subcontractors Record.
  • Preparing the Five week plan.
  • Preparing Yard Manpower Summary Graphs.
  • Hiring of subcontracted equipment/services, receiving, checking & submitting invoices for approval by Production Director.
  • Handling all incidental matters relating to subcontracted equipment/service hire.
  • Source and register New local subcontractors.
  • Preparing requirements for weekly Department Manager’s Meeting & Monthly Cost Meeting.
  • Relieving the other administrative assistant/office staff when he is on leave.
  • Maintaining Vessels file, correspondences and distribution of e-mails as appropriately.
  • Leave plan maintenance of all level employees of the department.
  • Assist in recording the employees appraisal.
  • Effective liaison with other trades for smooth operation of manpower supply and time keeping.
  • Maintain good working relationship with workers, foremen, supervisors and management.
  • Attend any training for any activity required by the department.
  • Overall control of timekeeping office, filing and record keeping.
  • To request document from HR / Finance as requested by employees.
  • Exercise discipline at the work site to prevent absenteeism, unsafe work practices and idleness.2 - 3 years of relevant experience in administrative/secretarial field

Qualification/Experiences & Skills

  • Graduate or Diploma in any equivalent discipline
  • Excellent Interpersonal and communication skills.
  • Able to handle administrative and secretarial jobs for different sections in the Dept as directed by Supervisor or Dept. Managers.
  • Proficiency use of MS Office applications with good typing skills and ERP application.
  • 2 - 3 years of relevant experience in administrative/secretarial field .
