As a Facility Manager, you will be directly responsible for oversight, execution, and leadership of a team of Technicians to properly manage and support the business. The role will ensure functions operate with the requirements of all local, state and federal requirements. The position will be responsible for all facility operational functions with the assigned buildings.

Candidate will be tasked with providing a structured approach to the operations of the Facilities and Real Estate functions while ensuring priorities meet key performance metrics. Additionally, the candidate must be able to work in the ever changing and fast paced role supporting a BPO (Business Process Outsourcing) company.

Primary Responsibilities

  • Manages day-to-day facility operations overseeing construction / maintenance planning and reporting activities, project manager, third party support of contractors / vendors performing work in a critical space, and third-party landlord as applicable.
  • Coordinates Landlord and property management functions.
  • Lead the delivery of an exceptional customer experience through high touch/Impact customer service, driving productivity, engagement and satisfaction.
  • Manages contracts for services of snow removal, janitorial maintenance, landscaping, parking lot maintenance, exterior lamping or other interior/exterior services as applicable to service agreement.
  • Assures compliance with audit programs, site policies, procedures and standard practices.
  • Manages staff reporting directly to Sr, Manager or Sr. Director, e.g. Facilities Managers, Coordinators, Technicians, 3rd party contractors / vendors, and/or temporary services. Provide on-site support as required to support and manage work efforts. Work with Sr. Director to prioritize and assign duties that align with goals and objectives (i.e. repairs & maintenance, project planning and implementation, renovation efforts, energy conservation, safety goals, etc.)
  • Establishes written Performance Measurement for employees. Develop training programs and career path for employees and assures succession planning.
  • Makes periodic tours of the interior/exterior of the site to document findings on a building inspection form, as applicable. Inspects facilities and equipment to ensure standards are being maintained.
  • Assure that all building inspections are completed on time, and that scheduled Preventative Maintenance and Reactive Work Orders are completed per service levels.
  • Coordinates responses to tenant service request to ensure prompt follow-up on day-to-day operations.
  • Manages local client control policies and procedures, change control process, MOP Process / authorization, Incident management, problem management, compliance with core Data Center and/or assigned critical environments.
  • Manages, coordinates and exercise functional responsibility approving and process site billing /invoices, purchases of supplies / equipment for use at a site level, maintains budget / cost save tracker.
  • Manages CMMS reactive work orders / facility service requests at the site level. Actively participates in implementation of CMMS work order system. Proactively meets with representatives on a scheduled basis. Monitors effectiveness of CMMS operation to ensure all customer needs are being met.
  • Manages goals and objectives that align with goals and objectives at the site level. Works with team on alignment and delivery. Is proficient in understanding the Key Performance Indicator’s (KPI’s) and ensures continual compliance to meet or exceed these goals.
  • Manage customer satisfaction, discuss any recommended changes to the overall program and the financial impact they may have on facilities operations. Work with team on results, expectations and associated action plans.
  • Manages the site operating budget (OPEX and CAPEX) documentation and works with leadership on submitting the final budget plan.
  • Reviews and updates financial reports to incorporate into monthly, quarterly and annual financial tracking process.
  • Develop and Implement “Saving Strategies” as per the communicated requirements by leadership.
  • Manages, prepares and submit for bidding all vendor agreements as applicable and in compliance with company requirements. Works with Sourcing regarding contract scope reductions/changes as applicable and in compliance with company policy and requirements.
  • Manage compliance of required local, state and federal laws and regulations.
  • Respond to emergency calls, snow events outside normal working hours – site level.
  • Performs additional job duties as requested.

  • Ability to regularly communicate analyzed data to customers and team to achieve goals and objectives.
  • Highly organized with strong analytical skills.
  • Basic understanding of commercial leases, contract documents and routine accounting methods.
  • High competency in vendor, supplier, and landlord negotiations.
  • Strong background and knowledge of analytics, KPI’s, CPI’s, and other metric-based competencies.
  • Thorough understanding of safety and OSHA requirements.

Required Qualifications

  • A bachelor's degree or equivalent in education and experience, and a minimum of (8) eight years of related real estate, facilities, and/or construction experience. An advanced degree in Facility and Property Management, or an applicable Engineering field, and/or Certified Facilities Manager, (or recognized equivalent certification) by an accredited facilities related organization is preferred.
  • Extensive knowledge of Microsoft Office Suite, CMMS, Project Management software.
  • CAD/CAFM experience a plus.
