Job Description

The Office Assistant’s responsibilities include but not limited to attendance to DP World guests, customers, VIP’s and delegations, maintaining the cleanliness and orderliness of the office facilities, handling maintenance and repair of the pantries, appliances, equipment and coffee machines.

Key Accountabilities

  • Attendance to DP World guests and serving hot and cold beverages to visitors, customers and delegations at the top executive’s offices and meeting rooms.
  • Assist in setting up meeting rooms and preparing them for delegations and meetings, including arranging seating, flags, notebooks and on table refreshment services.
  • Attend to chairman’s and top executives’ guests and offer a welcoming beverage and service.
  • Ensuring and monitoring the cleanliness and tidiness of all pantry areas, including meeting rooms and coffee machines, water dispensers in all offices/floors .
  • Monitoring and replenishing office supplies, such as stationery, pantry items, and appliance
  • Assisting in basic administrative tasks, such as photocopying, scanning , when required.
  • Monitor the basic function at reception, the guest launch areas and pantries and r eporting any maintenance or repair issues to the appropriate department or supervisor.
  • Keep pantries, grocery, and stationary storage clean and well organized.
  • Keep a track and inventory on the usage of groceries and ensure items are in stock including special orders over weekends, as per requirement.
  • Assist in the coordination of office events and functions, including setting up decorations and arranging catering services , when required.
  • Collecting and distributing incoming and outgoing mail, packages, and documents, when required.

  • Act as an ambassador for DP World at all times when working; promoting and demonstrating positive behaviours in harmony with DP World’s Principles, values and culture; ensuring the highest level of safety is applied in all activities; understanding and following DP World’s Code of Conduct and Ethics policies
  • Perform other related duties as assigned

Qualifications, Experience And Skills

  • 2-4 years as Services Attendant or other sililar/relevant role.
  • High school certificate
  • Moderate knowledge of English language.
  • Basic knowledge of computer skills (bonus)
