We are seeking a diligent and versatile Accounts Assistant and Personal Assistant to join our team. The ideal candidate will provide comprehensive support in managing the company's financial records while also serving as the right-hand person to the business owner or manager. This role combines accounting responsibilities with various personal assistant tasks, including business errands and driving.

Key Responsibilities

Accounting Duties:

  • Bookkeeping: Maintain accurate and up-to-date financial records using accounting software.
  • Invoicing: Prepare and issue invoices, manage accounts receivable and payable.
  • Bank Reconciliation: Reconcile bank statements and manage company credit card transactions.
  • Expense Management: Track, categorize, and report business expenses.
  • Payroll Support: Assist in preparing payroll and ensuring timely payments.
  • Financial Reporting: Generate monthly, quarterly, and annual financial reports.

Personal Assistant Duties:

  • Errands: Perform various business and personal errands as needed, including shopping, deliveries, and pickups.
  • Driving: Provide transportation for the business owner or manager to meetings, appointments, and events.
  • Scheduling: Manage calendars, schedule appointments, and coordinate meetings.
  • Communication: Handle correspondence, phone calls, and emails on behalf of the business owner or manager.
  • Administrative Support: Assist with office administration tasks, including filing, data entry, and office organization.
  • Project Assistance: Provide support on special projects and tasks as assigned.

Key Skills and Competencies:

  • Accounting Knowledge: Proficiency in accounting principles and practices.
  • Software Proficiency: Experience with accounting software (e.g., QuickBooks, Xero) and Microsoft Office Suite (Excel, Word, Outlook).
  • Organizational Skills: Excellent organizational and time management skills.
  • Attention to Detail: High level of accuracy and attention to detail.
  • Communication Skills: Strong written and verbal communication skills.
  • Discretion: Ability to handle confidential information with discretion.
  • Flexibility: Willingness to handle a variety of tasks and adapt to changing priorities.
  • Driving License: Valid driving license and a clean driving record.
