Summary: We are seeking a detail-oriented and highly organized Administrative Assistant to support our Executive Assistant. This role will help ensure smooth operations and efficient communication with our founder. The Administration Assistant is humble and will be resourceful in building strong relationships with internal stakeholders and external contacts; being available and approachable to everyone.

Essential Duties and Responsibilities:

  • Assist the Executive Assistant in managing the founder's calendar, scheduling appointments, and coordinating meetings
  • Handle phone calls, emails, and correspondence on behalf of the Executive Assistant
  • Prepare and organize documents, reports, and presentations for executive meetings
  • Maintain systems and organize digital and physical documents
  • Assist with travel arrangements and itinerary planning for executives
  • Coordinate with various departments to gather information and complete tasks
  • Work with brand and marketing to ensure that promotional items are available for activities
  • Assist in planning and coordinating company events and team-building activities
  • Maintain confidentiality of sensitive information
  • Provide general administrative support to the Executive Assistant and founder as needed

Requirements:

  • Proven experience as an Administrative Assistant or in a similar role
  • Excellent organizational and time management skills
  • Strong attention to detail and ability to multitask
  • Strong problem-solving and decision making
  • Proficiency in MS Office suite, especially Excel and PowerPoint
  • Exceptional written and verbal communication skills
  • Ability to work independently and as part of a team
  • Discretion and confidentiality when handling sensitive information
  • Knowledge of office management systems and procedures
  • Ability to travel internationally

Preferred Qualifications:

  • Prior experience supporting founder or executive team within beauty, cosmetics or fragrance brand
