HR Admin & Facilities Supervisor

About You

Main Responsibilities

• Booking and arranging business travels, including visa issuance, transport, and accommodation.
• Liaising with other functions (e.g., IT, C&P team) as needed.
• Allocating tasks and assignments to subordinates (drivers, cleaners, security teams).
• Managing and ordering office supplies (consumables, stationary, medicine orders).
• Ensuring office efficiency by planning and executing office maintenance.
• Acting as the point of contact for office vendors and service providers.
• Creating shipments through Aramex and DHL websites.
• Raising purchasing orders for office services requested by the HR team.
• Providing information, recommendations, and booking services for visitors (hotel reservations, travel arrangements, outside activities, dinners, etc.).
• Serving as the main point of contact with the building management for maintenance and repair issues, permits, and approvals.
• Handling office rent invoices and payments.
• Leading general maintenance, office maintenance, pest control, and fire & alarm extinguisher inspections.
• Assisting in event planning for townhalls, Danone Day, Managers Conventions, etc.
• Preparing for audits and visits.

Education/Experience

• Bachelor’s degree in any relevant major, preferably business administration.
• 1–3 years of experience in facilities management.
• Very good written and verbal communication in English.
• Very good knowledge of MS programs (Excel, Word, PPT,..)
