  • Draft Memo’s and Letters between the departments and external parties for effective communication.
  • Coordinate and facilitate the Chief’s calendar to arrange appointments, meetings and conferences as part of business requirement.
  • Follow up with various Dept. Heads and ensure to get required details / reports for the Chief on time as committed by him for systematic functioning of the department.
  • Act as a liaison between Chief and his subordinates and others by transmitting directives, instructions and assignments and following up on the status of assignments to ensure all tasks are completed within the time frame allotted.
  • Format a variety of documents, charts, spreadsheets and graphs in final form to ensure uniformity in all reports / data submitted by various departments.
  • Read and screen incoming correspondences and reports, and forward documents to Chief’s desk for his approval to ensure timely response to correspondence.
  • Receive and screen incoming calls and direct the priority calls to Chief and take messages if any calls are not connected to him to ensure timely response to calls.
  • Establishes and maintains various filing and data compiling to ensure effective records management systems.
  • Schedule and coordinate travel arrangements for Chief in compliance to his travel requirements.
  • Perform related work as assigned thereby assisting the Chief in day to day duties.

Requirements

  • Graduate from recognized university.
  • 5 years of work experience out of which at least 2 years at executive secretarial level.
  • Proficient in MS Office.
  • Excellent communication skills, ability to multitask and prioritize work and maintain confidentiality at all times.
  • Good command of English language
