About Role:

We are looking to hire a diligent Administrative Assistant to handle a variety of administrative and clerical responsibilities. This role involves supporting our managers and employees, aiding in daily office operations, and overseeing the company’s general administrative functions.


Responsibilities:

Here are the main responsibilities:


  1. Efficiently answer and direct phone calls.
  2. Organize and schedule appointments.
  3. Plan meetings and take detailed minutes.
  4. Write and distribute emails, memos, letters, faxes, and forms.
  5. Assist in preparing regularly scheduled reports.
  6. Develop and maintain a filing system.
  7. Update and maintain office policies and procedures.
  8. Order the office supplies and research new deals and suppliers.
  9. Maintain contact lists.
  10. Arrange travel plans and accommodations.
  11. Submit and reconcile expense reports.
  12. Provide general support to visitors.
  13. Serve as point of contact for the internal and external clients.
  14. Collaborate with executive and senior administrative assistants to manage requests and queries from senior managers.


Requirements:

Here are the qualifications and skills required:


  • Proven experience as an Administrative Assistant, Virtual Assistant, or Office Admin Assistant.
  • Knowledge of office management systems and procedures.
  • Proficiency with office equipment, including printers and fax machines.
  • Knowledge and Proficient in MS Office (especially MS Excel and MS PowerPoint).
  • Excellent time management skills and able to prioritize tasks effectively.
  • Attention to detail and strong problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to perform multitask.
