About Role:We are looking to hire a diligent Administrative Assistant to handle a variety of administrative and clerical responsibilities. This role involves supporting our managers and employees, aiding in daily office operations, and overseeing the company’s general administrative functions.
Responsibilities:
Here are the main responsibilities:
- Efficiently answer and direct phone calls.
- Organize and schedule appointments.
- Plan meetings and take detailed minutes.
- Write and distribute emails, memos, letters, faxes, and forms.
- Assist in preparing regularly scheduled reports.
- Develop and maintain a filing system.
- Update and maintain office policies and procedures.
- Order the office supplies and research new deals and suppliers.
- Maintain contact lists.
- Arrange travel plans and accommodations.
- Submit and reconcile expense reports.
- Provide general support to visitors.
- Serve as point of contact for the internal and external clients.
- Collaborate with executive and senior administrative assistants to manage requests and queries from senior managers.
Requirements:
Here are the qualifications and skills required:
- Proven experience as an Administrative Assistant, Virtual Assistant, or Office Admin Assistant.
- Knowledge of office management systems and procedures.
- Proficiency with office equipment, including printers and fax machines.
- Knowledge and Proficient in MS Office (especially MS Excel and MS PowerPoint).
- Excellent time management skills and able to prioritize tasks effectively.
- Attention to detail and strong problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational skills with the ability to perform multitask.
