We are seeking a highly organized and dynamic Team Assistant to join our team. The ideal candidate will be responsible for coordinating all aspects of show production, ensuring each episode runs smoothly from pre-production through post-production. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.

Roles & Responsibilities (but Not Limited To)

  • Manage day-to-day show operations, including maintaining supplies and equipment.
  • Ensure the studio, shoot location and environment is clean, organized, and welcoming.
  • Organize and prepare all necessary materials and equipment for each shoot.
  • Arrange travel, accommodations, and transportation for guests and team members.
  • Ensure all logistical aspects, including set-up and breakdown, are managed efficiently.
  • Prepare and manage hospitality for guests, including snacks and beverages.
  • Serve as the main point of contact for the team and suppliers.
  • Communicate schedules, changes, and updates promptly and effectively.
  • Coordinate with suppliers for merchandise ordering and management.
  • Assist with on-set coordination and support the director and production team as needed.
  • Coordinate with the Guest Booker to ensure all necessary legal documents such as NDA’s are signed and are collected.
  • Handle administrative tasks such as ordering supplies and food, expense reports.
  • Provide general administrative support to the team.
  • Support project management activities, including tracking progress and deadlines.
  • Conduct research and compile data for reports and presentations when required.
  • Handle and manage merchandise products from ordering to dispatching.
  • Communicate with suppliers to ensure timely delivery and quality of merchandise.
  • Maintain inventory records and manage stock levels.

What You'll Need

  • Proven experience as a Administrative Assistant, Team Coordinator Coordinator, or Production Assistant, or similar role.
  • A bachelor’s degree in a related field
  • Excellent organizational and multitasking abilities.
  • Strong communication and interpersonal skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and other relevant software.
  • Ability to work under pressure and meet tight deadlines.
  • Flexibility to work extra hours or be on call when necessary.
  • High level of professionalism and discretion.
