Executive Assistant – MATERNITY LEAVE COVER (8 Months FTC)

 

Helios Towers is a leading independent telecommunications infrastructure company, having established one of the most extensive tower portfolios across Africa. It builds, owns and operates telecom passive infrastructure, providing services to mobile network operators. Helios Towers currently operates in 8 markets in Africa and Oman in the Middle East.

 

Overview

 

You will be reporting into the Senior Executive Assistant. Your role will be to provide administrative and organisational support to members of the Executive Management team within Helios Towers; organising their time, managing their administration and undertaking duties “behind the scenes” to enable the smooth functioning and running of their working days. Also, to provide support to the Senior Executive Assistant as and when needed.

 

Location: Dubai

 

MUST BE AVAILABLE TO START IN SEPTEMBER 2024.

 

Role Responsibilities:

 

As Executive Assistant, you will be responsible for:

 

  • Being the main point of contact in Dubai for the group. There are various jobs and responsibilities that are listed below and also Adhoc task on a daily basis
  • Diary management (2/3 ExCo members)
  • Scheduling in-person meetings, booking restaurants, etc.
  • Expenses using SAP Concur (Local company card)
  • Minute taking / actions for ExCo specific meetings
  • Travel arrangements; visa applications, flight tickets, hotel bookings
  • Managing the Helios Towers office, Unit 102/103/124, including trade license updates, renewals, documentation, and filing
  • Serving as the main point of contact for the landlord and the company, including drafting letters, preparing NOCs, updating government portals, applying for building access permits, and assisting with lease renewals
  • DU mobile management
  • Work in collaboration with POD Team on any interviews/new starters/onboarding/ people admin  

 

Requirements for the Role

 

To succeed in the role, you will be/will have:

 

  • Educated to degree level
  • Minimum 3 years’ experience in a similar role
  • Experience working in a large organisation/public listed organisation
  • Experience of Travel management, Diary management, Office administration and MS Office
  • Strong Attention to detail, are results orientated, have experience of Planning, organising and Problem solving
  • Excellent communication skills
  • Fluency in French would be advantageous
