Valvoline has a rewarding opportunity as a highly motivated Administrative & Commercial Assistant.

Under the direct supervision, the Administrative Assistant performs diversified and entry level administrative duties and may engage in some guided project coordination. Acts as first business contact within the department/unit. Performs a variety of administrative and secretarial tasks aimed to optimize the time and performance of a manager and/or dept. Tasks may involve acting as a first point of contact, dealing with correspondence and phone calls, managing schedules/calendars, organizing meetings and appointments, and controlling access to the manager.

Specific Responsibilities And Activities

  • Updates correspondence, runs reports, and files, types, and answers phones. Assists with business support activities such as digital communications, payroll, personnel action forms, travel logistics, website support, expense reports, submit invoices, support meetings, responds to e-mails and routine correspondence, etc.
  • May provide duties supportive of functions such as Finance, IT, HR, Facilities, etc. for example: job description management, benefits administrative support, and interview scheduling, review accuracy of assigned charges; order supplies within guidelines; may assist with dept budget, etc.
  • Responsible for the day-to-day office operations. Maintains the office environment by organizing office operations and procedures; managing vendor interactions; controlling correspondence; monitoring building appearance and coordinating building activities.
  • Assists with programs/projects including registration, scheduling presenters, food & beverage, collating program materials, etc.
  • Makes simple travel arrangements with specifications; may submit for travel reimbursements. Schedules appointments, routine meetings, and locations and maintains electronic calendars based on specific instruction.
  • Cooperate with procurement/ purchasing department on setting up contracts with office supplies suppliers
  • Welcomes guests and customers by greeting them, in person, via email or on the telephone, answering or directing inquiries.
  • PRO Activities
  • Support PRO 3rd party activities license, visa submission/renewal.
  • Support PRO 3rd party for employment card and admin fees payments.
  • Makes sure all business and trade Licenses are updated, follow-up official approvals and permits, to prevent unnecessary violations.
  • Manage all employee employment cards issuance.
  • Work on behalf of Valvoline to submit any official letters/documents to the related authorities.
  • Coordinate courier services, Fedex envelops/collections for shipments.
  • Provide administrative support to ensure efficient operation of the office.
  • Support managers and employees through a variety of tasks related to organization and communication

Candidate profile

In order to be successful in this role you will need to have or be:

  • HS Diploma, Tertiary education or equivalent
  • One or two years of experience in a similar role in an international environment
  • Ability to manage multiple and changing priorities simultaneously
  • Good computer skills including Word, Excel, MS Outlook, PowerPoint, Adobe.
  • Good typing and keyboard skills. Familiarity with administrative processes.
  • Attention to detail and high level of accuracy.
  • Organizational skills
