Position Overview:
We are seeking a highly organized and proactive Personal Assistant to
support the CEO in both personal and professional capacities. This role requires
exceptional multitasking abilities and a keen attention to detail. The ideal candidate will be
responsible for managing the CEO's daily schedule, coordinating travel arrangements,
handling confidential documents, and ensuring smooth operation of both personal and
business activities.
Key Responsibilities:
• Manage and organize the CEO’s personal calendar, including appointments, events,
and meetings.
• Coordinate personal travel arrangements, including flights, accommodations, and
itineraries.
• Arrange for personal services such as booking cleaning services, sending cards and
flowers, and managing household tasks.
• Handle personal errands such as shopping, banking, and scheduling personal
appointments.
• Ensure the CEO’s apartment is maintained, clean, and fully stocked with essentials.
• Prepare and serve coffee and other refreshments as needed.
Professional Tasks:
• Organize and manage the CEO’s professional calendar, ensuring efficient time
management.
• Prepare and review documents, including reports, presentations, and
correspondence.
• Coordinate business travel arrangements for the CEO and team, including booking
flights, hotels, and transportation.
• Act as the primary point of contact between the CEO and internal/external
stakeholders.
• Attend meetings with the CEO, take minutes, and follow up on action items.
• Handle confidential and sensitive information with discretion.
• Manage communication and correspondence, including emails, phone calls, and
mail.
• Arrange and prepare for meetings, conferences, and business events.
• Assist with the preparation and execution of business strategies and projects.
• Maintain office supplies and ensure the smooth running of the office environment.
• Coordinate with various departments within the company to ensure alignment with
the CEO's directives.
Requirements:
• Proven experience as a Personal Assistant or Executive Assistant.
• Excellent organizational and time-management skills.
• Strong written and verbal communication skills.
• Ability to multitask and prioritize tasks effectively.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Discretion and confidentiality in handling sensitive information.
• Strong interpersonal skills and the ability to build relationships with stakeholders.
• Flexibility to work outside of regular office hours when necessary.
Qualifications:
• Bachelor's degree or equivalent experience preferred.
• Previous experience supporting C-level executives is a plus.
• Fluency in English; knowledge of additional languages is an advantage.
• Valid driver’s license and willingness to travel as needed.
