Job Description:

  • Plan and organize staff requirements to ensure availability of operational requirements and ensure all processes are followed as per SOPs and KPI’s.
  • Identify any potential shortfalls/excess staff and find out appropriate solutions.
  • Update HR for manpower status on daily basis to control short/excess staff.
  • Ensure staff day-offs is planned effectively to control overtime and reduce using staff working on day-offs.
  • Make sure staff utilize their privilege leaves upon completion of 2-year services with a strong leave plaining.
  • Must adopt period and random duty rotation.
  • Coordinate with HR for provision of additional manpower.
  • Responsible for schedule the day to day duty of Ops staff, prepare schedule for deploying staff and annual leave plan, liaise with the respective team.
  • Communicate with the Operations team for the deployment and mobilization of staff at client location.
  • Coordinate with all sites/Location to obtain their monthly and daily rosters to upload in the system.
  • Follow up with Zone Supervisors, Site Supervisors and Admins for pending schedule/rosters.
  • Ensure seamless & coordinated process between the help desk system and the operations.
  • Effectively coordinate responses and escalation to emergency situations in consultation with Managers and Supervisors.
  • Monitor to verify adherence of the Operations Team activities (Guarding, CVIT, Marine and Transportation) in accordance with the departmental workflow, policies and procedures and report of any violation noticed.
  • Prepare various operational and manpower utilization reports and timely submission as necessary.
  • Ensure detailed plan/roster is distributed to all staff in a timely manner.
  • Prepare and verify the time and attendance records for the team.
  • Perform daily / weekly / monthly reconciliation of manpower and ensure status to be updated to all stakeholders.

  • Induction for the new employees
  • Investigation reports in coordination with supervisors.
  • weekly absenteeism verification and submission.
  • Monthly and weekly reports
  • Monthly Duty Roster
  • Contacting Client for Location clearance.
  • Leave Plan
  • Daily Report for the management
  • Submission of weekly standby and deployment status report.
  • Submission of time sheet
  • Submission of final attendance to HR for Terminated & Resignation employees.
  • Confirming final Location clearance.
  • Disciplinary action/Statements
  • Job charts preparation
  • Monthly and weekly reports
  • Keeping track of “Unassigned” employees in ROSTIMA and reporting them to Manpower team.
  • Uploading attendance for employees living out in the system (after verification).
  • Analysing daily attendance report (for previous day) for deviations and discrepancies. Coordinating with locations/sites to make necessary verifications
  • Supporting / Registering new employees on ROSTIMA through installed biometric devices. Making sure that fingerprint machines are up and running round the clock, and reporting faults, anomalies etc to technical team.
  • Control key control / issuance as required

Required Criteria

  • High School Certificate or higher
  • 2+ years experience preferably in same role
  • Good English communication skill
  • Proficient in MS Excel
