Tiger have partnered with a prestigious regional business who are seeking a Private Assistant to support their Chairman. The individual will provide personal support to the principal to ensure smooth running of all family and household affairs, including managing properties and operations, personal administrative support, event management, travel arrangements and taking ownership for all private requests to support the principal.

This role is also open to candidates who are currently based in UK/Europe who are looking to relocate.

The role is only open to candidates who have at least 5+ years Private support exprience.

Key Responsibilities

Property & Household Management (Global)

  • Oversee property projects and act as the primary contact for all household-related matters.
  • Manage suppliers, coordinate with interior designers, and supervise household repairs and maintenance.
  • Work with insurance brokers to ensure all policies are current and offer comprehensive coverage.
  • Oversee household staff, including handling HR matters, processing salary payments, and managing administrative tasks.
  • Maintain a staff rota and a schedule of required tasks.
  • Manage an extensive inventory of fine art and wine collections.

Private Assistance/Administrative Tasks:

  • Coordinate personal appointments for family and friends.
  • Handle personal orders and purchases as requested.
  • Organize the Principals' diary, scheduling appointments accordingly.
  • Oversee private events such as birthdays and manage gift lists, including assistance with Christmas gifts.
  • Manage the annual custom Christmas card, including distribution and maintaining accurate recipient information.
  • Oversee the art collection, including insurance and correspondence related to shipments and damages.
  • Handle paperwork for auctions and bidding activities.
  • Manage the purchase and maintenance of wine collections.

Travel Management:

  • Provide private travel support for the principals, including booking arrangements for family and friends on both commercial flights and private charters.
  • Research and recommend holiday options for the principals and family trips.
  • Coordinate visa applications for family and friends.
  • Establish and maintain relationships with external travel providers.
  • Occasionally accompany the family on trips as needed.

Event Management:

  • Assist in planning and executing events at residences, including coordinating with caterers, arranging site inspections, managing logistics, and organizing entertainment.
  • Research and book venues, reserve restaurants, and build relationships with external contacts.

Financial Responsibilities:

  • Manage household bills and expenses.
  • Negotiate cost-effective solutions and oversee budgets for Private Office expenses, petty cash, and staff-related costs.

Reporting and Communication:

  • Report to the President on all personal matters.
  • Foster positive working relationships with all staff members.

Continuous Development:

  • Research best practices in administrative and clerical work.
  • Stay informed on professional standards through educational workshops and benchmarking.
