About The Role

This role is a 7 month fixed term contract (until the end of March 2025) based in our Dubai office.

This role is pivotal to the efficient running of Far and Beyond’s projects, with responsibility for coordinating all travel requirements for both the internal team, as well as client and artist parties. You will work within our Projects Team reporting into the Head of Events (ME). You will have direct contact with FAB clients, artist parties, suppliers, partners and all employees within the company across all departments who require logistical support.

You will be required to keep a track of costs, ensure you work within the set budget, and maintain an organised approach to working at all times.

Responsibilities

  • To work in conjunction with our Team Logistics Coordinator (UK) and together coordinate and book flights, visas, hotels and ground transport for FAB staff
  • To coordinate and book flights, visas, hotels and ground transport for international A-List artist parties
  • On larger projects this role will undertake the coordination of a small Flights & Visa team
  • To be the main point of contact regarding team logistics to include queries on hotels, flights, visas, and ground transport for artists and crew
  • Create and manage logistics spreadsheets with meticulous attention to detail
  • To forecast spend, produce, and work into logistics budgets
  • Reconciliation of budget and spend following each project
  • To work closely onsite and in advance (when applicable) with the on-ground logistics teams (including accommodation team, ground transport team, flights and visa team)
  • Continual reviewing and refining of department processes
  • Build strong relationships with suppliers, and negotiate contracts at the best value for money

About You

  • Previous experience in logistics management (flights, accommodation, ground transport, visas), preferably with international experience
  • Experience in budget management and financial reconciliation and forecasting
  • A problem solver who can analyse with a strategic mind and find solutions to operational challenges
  • Keen on working in a fast-paced environment, happy to adapt to changes as they occur, and works well under times of pressure
  • Organised, orderly, and meticulous about detail
  • Understanding that events do not run from 9 to 5, and the role will occasionally require out of hours work
  • Excellent communication and interpersonal skills, with experience of client management and fostering a collaborative environment
  • Proven ability to identify and implement innovative solutions to challenges, enhancing project efficiency and effectiveness.
  • You will act as a role model for Far and Beyond’s values and will work with the team to ensure these are embedded into everything we do.
  • Familiarity or proficiency with software/tools relevant to Far and Beyond: Google Workspace, Slack, Whatsapp, etc is desirable

Salary

169,000 AED per annum (total salary, breakdown to be provided). Please note that this salary is pro rata and will be based on a 7 month fixed term contract until the end of March 2025.

Location

Working from our Dubai office full time, and travel as required for projects

FAB will provide a working visa.

Accommodation

  • General accommodation while living and working in Dubai is not provided
  • When working abroad, accommodation will be provided

Working Hours

Generally Monday – Friday 9am – 5pm or 10am – 6pm, and additional hours as needed.

Onsite hours vary and will be an increase on the standard working office hours.
