Job Title: Receptionist (Aesthetics Clinic)

Location: Dubai, UAE

Reports to: Clinic Manager

Job Summary:

We are seeking a professional, friendly, and organized Receptionist to join our Aesthetics Clinic in Dubai. As the first point of contact for our patients, you will play a crucial role in ensuring a welcoming and seamless experience from the moment they walk in. The ideal candidate will have excellent communication skills, a keen attention to detail, and a passion for customer service in a healthcare or aesthetics setting.

Key Responsibilities:

  • Front Desk Management:
    • Greet and welcome patients as they arrive at the clinic, creating a warm and inviting atmosphere.
    • Manage the clinic’s front desk, ensuring it is organized, tidy, and presentable always.
    • Answer and direct phone calls, emails, and inquiries, providing information about clinic services and booking appointments.
  • Appointment Scheduling:
    • Schedule and confirm patient appointments using the clinic’s booking system.
    • Coordinate with clinical staff to ensure smooth patient flow and minimize waiting times.
    • Remind patients of upcoming appointments and manage any changes or cancelations.
  • Patient Check-In and Check-Out:
    • Assist patients with the check-in process, including verifying personal and medical information, and updating records as needed.
    • Process payments for services, issue receipts, and handle any billing inquiries.
    • Provide patients with post-appointment instructions and schedule follow-up visits if necessary.
  • Administrative Support:
    • Maintain and update patient records, ensuring all information is accurate and confidential.
    • Assist with administrative tasks such as filing, data entry, and managing correspondence.
    • Handle deliveries, mail, and other front desk logistics.
  • Customer Service:
    • Address patient inquiries and concerns with professionalism and empathy.
    • Provide information on the clinic’s services, promotions, and packages.
    • Assist in resolving any issues or complaints, escalating them to the Clinic Manager when necessary.
  • Compliance and Protocol:
    • Ensure all front desk operations adhere to clinic policies, procedures, and local regulations.
    • Uphold the clinic’s standards for patient confidentiality and data protection.
    • Participate in staff meetings and training sessions to stay updated on clinic procedures and services.
Qualifications:

  • Education:
    • High school diploma or equivalent required.
    • Additional training or certification in customer service or office administration is a plus.
  • Experience:
    • Minimum of 1-2 years of experience as a receptionist, preferably in a healthcare, medical, or aesthetics environment.
    • Familiarity with appointment scheduling software and electronic medical records (EMR) systems is preferred.
  • Skills and Attributes:
    • Strong communication and interpersonal skills, with a focus on customer service.
    • Proficient in using office software, including Microsoft Office Suite (Word, Excel, Outlook).
    • Ability to multitask and handle a fast-paced environment with professionalism.
    • Well-organized, detail-oriented, and proactive in problem-solving.
    • Fluent in English; proficiency in Arabic or other languages is an advantage.
