Apt Resources is currently seeking a Female Office Manager to join our client's team. As an Office Manager, you must be an expert in distribution, market analysis, purchasing, and supplier management. The ideal candidate should also be skilled in preparing management reports, including bi-weekly and monthly reports, for submission to management and shareholders.

Responsibilities:

Distribution Management:

  • Oversee and manage the distribution processes, ensuring efficient and timely delivery of products.
  • Optimize distribution strategies to reduce costs and improve operational efficiency.

Market Analysis:

  • Conduct comprehensive market research to identify trends, opportunities, and potential risks.
  • Analyze market data to support strategic decision-making and inform business growth strategies.

Purchasing:

  • Manage the procurement process, including vendor selection, negotiation, and purchasing of goods and services.
  • Ensure that all purchasing activities align with company budgets and quality standards.

Supplier Management:

  • Build and maintain strong relationships with suppliers to ensure reliable and cost-effective supply chains.
  • Evaluate supplier performance regularly and address any issues related to quality, pricing, or delivery.

Report Preparation:

  • Prepare detailed management reports, including bi-weekly and monthly summaries, highlighting key metrics and insights.
  • Ensure timely submission of reports to management and shareholders, providing accurate and actionable information.

Budgeting and Financial Management:

  • Collaborate with the finance department to monitor budgets related to distribution, purchasing, and supplier management.
  • Assist in forecasting and financial planning based on market analysis and procurement activities.

Compliance and Documentation:

  • Ensure all distribution, purchasing, and supplier management activities comply with legal and regulatory requirements.
  • Maintain accurate records and documentation related to procurement, distribution, and supplier interactions.

Team Coordination:

  • Coordinate with various departments to ensure seamless operations in distribution, purchasing, and supplier management.
  • Provide leadership and support to team members, fostering a collaborative and efficient work environment.

Process Improvement:

  • Continuously review and improve internal processes related to distribution, purchasing, and supplier management.
  • Implement best practices to enhance productivity, reduce costs, and improve overall business performance.

The salary is AED 11,000 + 2,500 Allowance

متطلبات الوظيفة

  • Minimum of 8 years of experience in distribution, market analysis, purchasing, and supplier management.
  • Proven track record in managing office operations with a focus on efficiency and cost-effectiveness.
  • Bachelor’s degree in Business Administration, Supply Chain Management, or a related field is required.
  • Proficiency in office management software and tools, including Microsoft Office Suite (Excel, Word, PowerPoint), SAP and ERP systems.
  • Expertise in preparing comprehensive management reports, including bi-weekly and monthly summaries, for executive-level review.
  • Strong organizational and multitasking abilities to oversee various office functions and projects simultaneously.
  • Strategic thinker with excellent problem-solving capabilities, particularly in distribution, procurement, and supplier relations.
  • Ability to quickly address and resolve operational challenges.
  • Understanding of legal and regulatory requirements related to procurement and supplier management.
  • Ability to ensure compliance with industry standards and company policies.
  • Strong time-management skills with the ability to meet tight deadlines for report submissions and project milestones.
  • Ability to adapt to changing business needs and work in a fast-paced environment.
