About Role:

We are in search of a reliable Administrative Assistant to undertake a variety of administrative and clerical responsibilities. This role is essential for supporting our team and ensuring that daily office operations run smoothly.


Position Overview: The Administrative Assistant will handle tasks such as organizing travel arrangements, coordinating meetings, and preparing reports. Key duties also include maintaining filing systems and providing general administrative support. The ideal candidate will have excellent communication skills, both written and verbal, and be proficient in tools like MS Excel and other office software. Previous experience in similar roles, such as a Secretary or Executive Assistant, and industry-specific knowledge are preferred.


Responsibilities:

  1. Manage phone calls and route them appropriately
  2. Schedule appointments and organize meetings
  3. Take minutes during meetings and prepare summaries
  4. Draft and send the emails, memos, and other correspondence
  5. Assist with the creation of regular reports
  6. Set up and maintain filing systems
  7. Update office policies and procedures as needed
  8. Handle office supply orders and explore cost-saving options
  9. Maintain and update contact lists
  10. Arrange travel and accommodations


Requirements:

  • Demonstrated experience as an Administrative Assistant or in a similar job role
  • Knowledge of office management practices and systems
  • Proficiency with office equipment and software, including MS Office
  • Strong organizational skills and the ability to manage multiple tasks and operations
  • Excellent attention to detail and problem-solving abilities
  • Effective communication skills, both written and verbal
  • High School diploma required; additional certifications or qualifications in administrative support are a plus
