Job Brief:

This role will provide vital support to the logistics team by handling administrative tasks, coordinating shipments, tracking deliveries, and maintaining clear communication between departments and external partners. This role ensures that the logistics processes run smoothly, deadlines are met, and compliance with industry standards is maintained.

Customs Work – Physical Representation at the time of Inspection (Incoming, Outgoing & Internal Transfer) and Document Submission.


Job Responsibilities:

Administrative Support:

  • Assist the logistics team in day-to-day administrative tasks.
  • Manage and organize logistics-related documents such as shipping manifests, delivery orders, and invoices.
  • Update databases with logistics and shipping information.
  • Maintain proper filing systems for easy retrieval of documents.
  • Familiar with Customs paperwork.

Shipment Coordination:

  • Arrange and coordinate shipments, ensuring timely dispatch and delivery of goods.
  • Prepare shipping documentation, including bills of lading, packing lists, and customs paperwork.
  • Track shipments and update relevant parties on the progress and delivery status.

Inventory Management:

  • Assist with monitoring stock levels and inform the relevant departments when stock needs replenishment.
  • Help maintain accurate inventory records and update systems regularly.
  • Coordinate with warehouse staff to ensure efficient handling and dispatch of goods.

Communication and Liaison:

  • Serve as the point of contact between logistics, suppliers, and customers.
  • Liaise with suppliers, freight companies, and other logistics partners to ensure timely delivery.
  • Respond to customer inquiries regarding delivery schedules and any potential issues.

Compliance and Documentation:

  • Ensure compliance with company policies, local laws, and international shipping regulations.
  • Support the preparation of necessary documentation for customs and regulatory purposes.
  • Keep up-to-date with any changes in logistics, shipping, and trade regulations.

Problem Solving:

  • Assist in resolving any logistics or shipment-related issues.
  • Report any discrepancies in shipment details and work to correct them in a timely manner.


Job Requirements:

  • High school diploma or equivalent.
  • Previous experience in logistics or administrative support roles.
  • Proficiency in MS Office (Excel, Word, and Outlook).
  • Strong organizational skills and attention to detail.
  • Good communication and interpersonal skills.
  • Ability to multitask and work under pressure.
  • Familiarity with logistics software.
