Job Description

Operational

  • Implement and maintain all policies and procedures of the organization in the section/department
  • Prepare internal and external communication (mails, official letter, etc…) in a professional way as directed by the Manager/Director to support communication for the department as per the management guidelines
  • Prepare, update and maintain the activity calendar for the section/department and periodically inform Manager/Director and section/department staff about the fourth coming activities and required actions for that particular activity
  • Maintain all the official documents (SLA, MOU, Agreements and official decree, etc…) in a most confidential way and make it available to Manager/Director or staff of the section/department, as and when required
  • Coordinate for organizing official meetings and activities as per section/department plan
  • Organize events/activities and training programs for employees (eg, individual appreciation, group activities, celebrations and other similar activities) to support manager in encouraging and enhancing employees
  • Prepare CAPEX, OPEX and MAXIMO requests based on the budget allocated and inform any unbudgeted request to Head of the section/department for their necessary actions
  • Coordinate with purchasing units on the requests raised or order supplies according to the requirement and ensure requested items are delivered and payments are made for the vendors
  • Handle petty cash and prepare required documents to manage department cash effectively
  • Account and maintain the section /department inventory
  • Provide written/verbal reports (periodically or as required) on the section/department activities and submit for Manager’s/ Director’s review and necessary actions
  • Maintain leave and attendance records, if necessary
  • Coordinate with the other Division/Departments for providing financial and administrative services as needed, to enable section/department staff to carry out section/department functions timely and efficiently
  • Perform other additional responsibilities associated with the position and as delegated by the Head of the unit

Maintain confidentiality, integrity and availability of information in line with Dubai Customs information security policies and procedures in order to protect information from any disclosure or misuse

Qualifications

Minimum Educational Requirements:

  • Bachelor Degree in Business/ Administration or relevant

Experience:
  • Minimum of 5 years experience as administrator
