Job Purpose
The Administrative Coordinator will be responsible for managing data entry duties related to TARS / RTA System( TARS) & Abudhabi police system / Traffic fines/ Salik / Insurance , other data entry duties related to customer agreements and vehicle data across multiple systems, ensuring accuracy, compliance, and timely updates. This role involves overseeing vehicle replacements, agreement closures, and document management, as well as generating and comparing reports for data validation.
Key Responsibilities:
Agreement Entry and Management:
- Enter customer agreements into the TARS/ police system, ensuring all information is recorded accurately within 3hrs.
- Maintain consistency between TARS/ police system and ERAC systems by managing agreement entries and updates in both platforms.
- Actively monitor agreements in both TARS/police system and ERAC systems, ensuring timely updates and data accuracy.
- Ensure proper closure of completed agreements, managing related tasks across both systems.
Vehicle Management:
- Handle customer vehicle replacements, processing these changes efficiently in both TARS/police system and ERAC systems.
- Manage the removal of sold vehicles from the system, ensuring accurate documentation and compliance with internal policies.
- Renewing all expired vehicles on TARS & police system by following ERAC system.
- Monitoring of In Borrow vehicles.
Reporting and Data Validation:
- Generate and compare reports from TARS and ERAC systems against internal systems for data accuracy and reliability.
- Analyze discrepancies and collaborate with the team to ensure data integrity.
- Sending emails to branches to update the expired documents and follow up with concerned branch for modification of data in the agreements on time.
System Proficiency:
- Maintain proficiency in the Car rental software system, utilizing it for vehicle management and administrative tasks.
- Contributed to the efficient documentation of lease agreements, maintaining organized and accessible records
Documentation and Compliance:
- Oversee the documentation process for customer agreements, vehicle replacements, and sold vehicles, ensuring adherence to company policies and regulatory requirements.
