As a Senior Receptionist, you will oversee the receptionists across our UAE locations, ensuring our best practices are unified, and our engagement activities are organised and executed.

In this role, you will:

Office & Team Management

  • Supervise the reception rotation. Ensure there is a cover and representative at all times across all locations
  • Delegate and supervise day-to-day admin tasks as required
  • Manage the office's sundry replenishment, inc. stationery, refreshments, and other items
  • Coordinate with various departments to provide support, including scheduling meetings, organising couriers and ad-hoc admin tasks
  • Welcome guests and clients as they arrive, ensure they feel comfortable and direct them to the appropriate person or department
  • Receive and distribute mail and packages, courier deliveries, and coordinate outgoing shipments
  • Ensure the reception area is tidy, organised, and presentable, including managing reading materials, displays, and signage and ensuring this is followed across our locations

Internal & CSR

  • Support and execution of the company's yearly events program, including organizing speakers, setting up rooms, and managing the project plans
  • Support with monitoring and maintaining the CSR budget
  • Creation and delegation of internal communications and publishing them on all organisation


Requirements

  • A secondary education is required
  • 5+ years of experience in a front office handling receptionist responsibility and 1 year in people management
  • 3+ years as an administrative coordinator in a fast-paced environment
  • At least 2 years of experience within the UAE
  • Proficient with Microsoft Office Suite, CANVA and using MAC
  • Proficient with Microsoft Excel
  • Understanding the importance of employee engagement
  • Fluent English
  • Solid communication skills, both written and verbal
  • Strong collaborative skills
  • Project Management skills
  • Ability to be resourceful and proactive in dealing with issues that may arise
  • Ability to organise, multitask, prioritise, and work under pressure
  • Professional and upbeat  attitude and appearance
