This Merchandising Assistant position is crucial for supporting the Buyer team's operations in our client's fast-paced luxury retail environment. The role exists to manage and organize essential product data, creating a seamless flow of information between suppliers, the Buyer team, and customers. By maintaining accurate and up-to-date product information, this position directly contributes to the company's mission of providing exclusive access to top designer collections, ensuring that the platform remains at the forefront of luxury e-commerce. The Merchandising Assistant plays a vital role in streamlining administrative tasks, enabling the Buyer team to focus on strategic decisions and maintain the company's competitive edge in the luxury market.

The Impact you'll make

Data Management and Entry

  • Utilize advanced Excel functions (pivot tables, VLOOKUP) for efficient data organization and analysis

  • Input detailed product information from lookbooks into Excel with high accuracy

  • Perform data clean-up and maintenance to ensure data integrity across all systems



Buyer Team Support

  • Create, update, and maintain Purchase Order files with meticulous attention to detail

  • Prepare and send Purchase Orders to the Buyer team for review, making necessary adjustments based on feedback

  • Proactively identify and resolve data discrepancies or potential issues before they impact decision-making



File Organization and Management

  • Organize and maintain files, notes, and folders on Google Drive using efficient naming conventions and hierarchies

  • Ensure easy access to critical documents and product information for the Buyer team

  • Create and update files based on specific templates and requirements



Product Research and Documentation

  • Research product prices and item numbers using supplier lists

  • Gather comprehensive details for clothing, accessories, and jewelry items from various sources

  • Maintain accuracy in product descriptions and specifications across all databases



System Management and Communication

  • Upload finalized Purchase Orders to the company portal, ensuring all product data is correctly entered

  • Clearly communicate complex product information and data insights to stakeholders

  • Collaborate effectively with the Buyer team and other departments, adapting to shifting priorities in a fast-paced environment



Skills, Knowledge and Expertise

Required Qualifications:

  • Minimum of 1 year of experience in e-commerce, retail, or fashion merchandising roles, preferably in luxury or high-end fashion

  • Proven experience in data entry and advanced Excel functions (Pivot tables, VLOOKUP)

  • Strong attention to detail and ability to maintain accuracy in a fast-paced environment

  • Excellent verbal and written communication skills in English

  • Experience working with Purchase Orders and product databases

  • Familiarity with fashion terminology and luxury brands is highly preferred

  • Prior experience in a virtual assistant or remote support role is a plus

  • WFH Set-Up:

    • Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.

    • Internet speed of at least 40MBPS

    • Headset with an extended mic that has noise cancellation and a webcam

    • Back-up computer and internet connection

    • Quiet, dedicated workspace at home
