Why does this role exist?
This Legal Assistant position exists to provide crucial support to our legal team, ensuring smooth operations and excellent client service. The role is essential for managing sensitive information, coordinating legal activities, and maintaining organized systems that contribute to successful case outcomes. By handling administrative tasks efficiently, this position allows attorneys to focus on their core legal responsibilities.

The Impact you'll make

Client File Management

  • Initiate client files by sending signed retainer agreements

  • Enter client information into the firm's CRM system

  • Start legal matters, calendar court dates, and payment plans

  • Reach out to former lawyers for necessary documents

  • Send welcome letters to new clients


Daily Oversight

  • Verify staff notes in the CRM from the previous day

  • Ensure accurate calendaring of court dates

  • Review task lists for priority tasks, including client follow-ups and legal writing


Client Communications

  • Maintain regular communication with clients about payments and upcoming deadlines

  • Address client concerns

  • Coordinate with various parties to collect and verify information

  • Contact potential clients for lead intake and relay information to the attorneys


Document Management

  • Edit draft documents

  • Download and sort discovery materials using Box

  • Manage legal writing with Word and Adobe

  • Utilize eCourts, EDDS, and NYSCEF for online court and filing systems


Organizational Support

  • Assist the attorneys and law firm in staying organized

  • Manage schedules, tasks, and priorities using Google Calendar and Google Sheets

  • Provide general administrative support to ensure smooth legal team operations



Skills, Knowledge and Expertise

Required Qualifications:

  • At least 1 year of experience in operations and customer service or customer-facing roles

  • Excellent attention to detail

  • Excellent written and verbal communication skills

  • Experience with CRM software like Salesforce, Hubspot, etc.

  • Prior experience in a virtual assistant or remote support role is a plus

  • WFH Set-Up:

    • Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.

    • At least 50 MBPS wired internet connection and a backup internet

    • Headset with an extended mic that has noise cancellation and a webcam

    • Back-up computer and internet connection

    • Quiet, dedicated workspace at home
