Overview Of The Role
The HSSE officer will conduct HSSE inspections and audits to identify potential HSSE risks and hazards within Al Futtaim businesses and ensure the highest standards of health, safety, and security across Al Futtaim locations in the UAE. Support on HSSE compliance issues and concerns such as Liaising with UAE Civil defense on safety certificates, Dubai Police on cases, CCTV approvals, SIRA approval, Hassantuk 24/7 Smart monitoring system, Aman smart monitoring system, Weqaya Smart monitoring system, support on Police cases etc. Strengthen our HSSE department's capabilities and ensure compliance with local regulations, industry standards, and best practices. The HSSE Compliance Officer will focus on bridging the gaps in inspections, audits, administrative support for existing staff, and providing coverage during their leave. Enhance the department's effectiveness in event participation, meeting attendance, consistent feedback provision, and the introduction of new ideas. Develop and manage a document control system, maintaining a comprehensive database for HSSE projects, contracts, investigations, documentation, and other relevant activities, including internal and external meetings.
What You Will Do

- Prepare detailed inspection and audit reports, offering constructive feedback, and outlining recommendations to address identified risks, hazards, and instances of non-compliance.
- Regularly update the formats of HSSE inspection and audit reports to ensure they remain current and effective.
- Ensure comprehensive inspection coverage across all Al Futtaim businesses in the UAE.
- Analyse HSSE data, which includes incident reports, audit and inspection findings, to identify trends and areas for improvement. Seek opportunities to enhance the overall effectiveness of HSSE programs.
- Maintain a tracking system for HSSE inspections being conducted, ensuring that all necessary information is documented and readily accessible.
- Follow up on pending action plans with various business units, ensuring that recommended actions are being implemented and tracked effectively.
- Complete a specified number of regular inspections (15) per month to proactively identify potential hazards, instances of non-compliance, and areas for improvement. Promptly address any identified deficiencies to enhance overall safety and compliance.
- Ensure to submit all the Audit inspection, incident & investigation report within the given timeframe.
- Provide monthly and weekly HSSE progress reports to the Line Manager, summarizing the current status of inspections and audit activities.
- A monthly report must be submitted by the 2nd of each month.
- Any outstanding matters highlighted in the reports must be pursued until they are addressed or resolved.
- Stay up to date with the latest HSSE regulations, industry standards, and best practices, and provide and keep the Head of HSSE updated.
- Ensure to ensure all the supporting documents related to the new regulation such as copy of new law or memo for the reference.
- Ensure all the incidents and accidents are reported to the Line Manager and Head of HSSE as soon as possible.
- Manage the collection and documentation of incident reports, ensuring that all incidents are properly recorded, investigated, and reported in accordance with company policies and regulations.
- Carry out responsibilities at various events to support different business units.
- The nature and timing of these event-related tasks may vary, occurring either within regular office hours or beyond, contingent upon the specific event.
- Adherence to instructions provided by the Head of Group HSSE is mandatory while participating in these events.
- Implement a document control system and maintain a database for applicable HSSE projects, contracts, investigations other activities.
- Maintaining Trackers + Record System for all applications and requests processed by Group HSSE
- Provides support to the Group HSSE team in organizing internal and external meetings, and sending reminders for inspection calendar, daily & weekly tasks.
- Conduct a thorough review of all the Group HSSE Documents, Alerts, Forms, Polices & reports.
- Prepare & reviewing monthly and yearly reports, presentations, minutes of meeting, and other communication documents issued by Group HSSE
- Updating and maintaining daily records of lift Access Card Data + Forms
- Support on HSSE compliance issues and concerns such as Liaising with UAE Civil defence on safety certificates, Dubai Police on cases, CCTV approvals, SIRA approval, Hassantuk 24/7 Smart monitoring system, Aman smart monitoring system, Weqaya Smart monitoring system, support on Police cases etc.
- Assume the responsibilities of the HSSE officers during their absence due to leave or any other reasons. Maintain continuity and ensure that health, safety, and security protocols are upheld.
- Confidentiality is of utmost importance within the HSSE department as it deals with sensitive information related to private properties, security, safety, and environmental matters. Maintaining the confidentiality of this information is critical for several reasons:
- The HSSE department often deals with information about private properties, including their security measures and issues. This information, if mishandled, could pose a significant risk. Therefore, it is imperative that all employees within the HSSE department understand the importance of safeguarding this data.
- Sharing sensitive information about security measures, safety protocols, or emergency response plans with unauthorized individuals could compromise the effectiveness of these measures. Maintaining confidentiality is essential to guarantee the ongoing safety and security of our stakeholders.
- The company has established a clear policy for disciplinary action in case of any violation.
- Maintaining confidentiality is not just a departmental requirement but is also a fundamental part of the company's Code of Conduct & Ethics policy.
- Maintaining confidentiality is crucial for preserving the trust and reputation of the HSSE department and the company.
- Reports on duty on time, based on the scheduled start time. Compliance with Head of HSSE instruction, HSSE policies, procedures, and guidelines.
- Regularly attend department meetings as scheduled.
- Regularly attend the meetings with service providers and be responsible for documenting the minutes of each meeting.
- Effectively follow up and resolve any matters pertaining to service providers.
- Ensuring all payments are done after getting necessary approval such as , Business approval, Head of Group HSSE approval, Company code and cost center from business, Maintaining trackers for all the payments, handling petty cash requests and tracking them, submitting all the supporting documents to the accounts Manager on a timely manner.
- Ensuring Credit card is kept in safe custody, and the pin is changed when needed.

Required Skills To Be Successful

What Equips You For The Role
- Bachelor’s degree is desirable; must have a minimum of 3-5 years in a similar role.
- Knowledge of the HSSE safety regulations and industry standards, governmental practices/local laws and procedures, Incident Reporting, HSSE Audit and Inspections and document administration.
- Enhanced IT computer skills using MS Office suite and SAP SuccessFactors.
