Job Purpose:

The Administrative Officer provides administrative support to ensure efficient operations—the primary gatekeepers accountable for all organizational activities.


Job Responsibilities:

  • Ensure proper organization, distribution, and filing of project-related documents. Collaborate with internal teams to maintain document control and version management.
  • Coordinate and facilitate gate pass applications and renewals for personnel and equipment, ensuring compliance with site entry requirements.
  • Track and schedule the movement of materials and manpower on-site, ensuring timely delivery and allocation based on project needs.
  • Collect, verify, and reconcile employee timesheets for accuracy in reporting and payroll processing.
  • Assist project managers and team members in the preparation, review, and submission of key project documents.
  • Oversee local purchasing activities, including supplier coordination and ensuring timely and accurate invoicing for all procurement-related transactions.
  • Act as the main point of contact between various departments, suppliers, and site teams to ensure smooth coordination of all logistics-related activities.
  • Prepare regular progress reports on logistics, material status, and manpower allocations for project management review.


Job Requirements:

  • Bachelor's degree in business administration, management, or any other related field.
  • Minimum 3 years of relevant experience.
  • Strong organizational, and time management skills.
  • Ability to work independently, manage multiple priorities, and meet tight deadlines.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Advanced proficiency in Microsoft Office suite, especially Word, Excel, and PowerPoint.
  • Knowledge of office management systems and procedures.
