The Role

Are you a dynamic and organized professional with a passion for logistics and customer service? We are looking for a Team Leader to oversee the daily operations of our rental desk and logistics team. This role is crucial in ensuring smooth invoicing processes, monitoring fleet transportation, and driving team efficiency across several countries in the Middle East.
Key Responsibilities:

  • Invoicing Management:


Oversee the invoicing process for all rental transactions, ensuring accuracy and timeliness.
Review and verify all rental agreements and contracts before processing invoices.
Resolve discrepancies related to billing, customer queries, purchase orders, or contracts.
  • Transportation Movement Coordination:


Manage the allocation and movement of rental equipment based on customer requirements and availability.
Periodic vendor evaluation and selection, across the region, to ensure we have the most competitive and reliable partners.
Coordinate the logistics to ensure timely and efficient delivery and return of rental equipment.
  • Operational Efficiency:


Continuously assess and improve the efficiency of rental desk operations, implementing best practices where possible.
Monitor and report on KPIs such as invoice turnaround time, fleet utilization, and customer satisfaction.
  • Reporting and Communication:


Provide daily, weekly, and monthly reports on rental desk performance, including invoicing, revenue, equipment utilization, and customer feedback.
Maintain effective communication with the sales and operations teams to align rental activities with broader business goals.
Assist the Operations Manager with forecasting and strategic planning related to equipment rental demand and resource allocation.
  • Team Leadership:


Lead, motivate, and support the rental desk team to ensure high performance and adherence to company policies.
Delegate tasks and monitor the team’s efficiency, providing guidance and support when necessary.
Facilitate regular team meetings to communicate goals, updates, and provide feedback.
Act as the first point of contact for escalated issues, resolving them effectively and maintaining team morale.
  • Compliance and Procedures:


Ensure all team activities comply with company policies, procedures, and relevant regulations.
Enforce proper documentation, record-keeping, and data accuracy in line with company standards.
Regularly review and update internal processes to ensure compliance and identify opportunities for improvement.
  • Collaboration:


Work closely with the logistics, sales, finance, and service teams to ensure smooth rental operations.
Foster a collaborative environment, encouraging open communication between departments for seamless workflow.
  • Adherence to Safety:


Ensure all rental desk activities align with the company’s safety standards and procedures.
Promote a safe working environment and ensure compliance with safety regulations.
