Support, Customer Service for Sample Coordination (Dubai, UAE)

We are currently seeking a Support, Customer Service for Sample Coordinator to join our team and be responsible for all sampling processes in a client facing, fast-paced environment. This role offers a unique opportunity to contribute to a growing team within a well-established organization.

Your main responsibilities will be to manage all processes related to sampling inquiries and binder updates.

Your main responsibilities will include:

Responsibility for sample room, stock room and showroom maintenance and organisation at all times:


  • Place sample orders in D365 on weekly basis.
  • Invoice the samples through the system.
  • Organize weekly deliveries (put samples in stock room, organize delivery of back up orders, place the sample orders to D365 on weekly bases)
  • Locate new collections in showroom display
  • Arrangement of sample deliveries from our HQ
  • Coordinating with HQ if any sample concerns


Arrangement of new and discountinued collections sampling:


  • Set up new items in D365, showroom and sample room.
  • Remove the old collections from D365, showroom and sample room.
  • Organise relevant rotations, inspiration sets


Process sample orders from clients and sales team:


  • Registering and invoicing sample orders in D365
  • Arrange sample orders
  • Collect and pack samples for clients
  • Organising courier dispatch / hand over to sales team if requires


Prepare the sales team for their client meetings and occasionally, participate in showroom meetings:


  • Assist sales team in finding samples and finding alternatives according to requirements, place sample orders, collect and prepare samples according to instructions.


Responsible for binder updates and merchandising of all sample literature at design studios in Dubai:


  • Maintain registration of binder updates at all times physically and in D365.
  • Arrange appointment with Dubai based design studios to update the binders and samples in library


Responsibility for showroom and stock room inventory, maintenance and organisation at all times:


  • Maintaining order in showroom: ensure the showroom always looks prestine, secure order of samples at all times, tidy up after meetings,
  • Purchase and maintain office supplies


Quarterly stock take of all sampling:


  • Count and register all samples in D365
  • Enter counted samples to stock inventory in D365


Support, customer service:


  • Handling Dubai emails and ensure to forward to the related sales team the customer inquiry
  • Answering phone calls and attend to customer inquiries
  • Assisting customer service manager in admin tasks related (if necessary)


Your profile:

You have an interest in design and would like the opportunity to be part of a creative design community.

You are a structured, detail-orientated, proactive and organized team player.

You will bring a well presented, positive, honest, and open-minded approach to the working environment.

Minimum university degree.

Experience in MS office, experience with Microsoft Dynamics D365 is an advantage.

Fluency in spoken and written English.
