Responsibilities
Main Duties:
- Support with arranging/managing/branding/distribution of all school communications and official documents to parents.
- Translate documents/correspondences from English to Arabic or vice versa
- Type, proofread and distribute a variety of material such as letters, reports and tabulations. Includes entering, amending and retrieving information, and performing security copying and archiving of documents.
- Responsible for all communications to School Parents which may include but not limited to Homework, Educational visits and invitations to events and/or any messages asked by SLT to be sent to parents.
- Maintain up to date records for relevant information and to enable to generate accurate reports.
- Create surveys and share it with parents and follow up as needed.
- Send parent comms through SMS Channel and other school platforms such as school voice, seesaw and TEAMS.
- Managing School Voice application and contacting school voice coordinator if parents have any issues with the app.
- Developing & managing spreadsheet to track certain data (Student information/Media consent forms/ Health declaration/ Medical Records/ Al Hosn result)
- Tracking close contacts to positive cases and sending the required email to students as well as SMS to parents.
- Support the Admin Team (Registration, Attendance, Front of House) on various tasks whenever needed
Specific duties:
- Attend all administration meetings, prepare agenda’s and take minutes as necessary
- Liaise with teaching and non-teaching staff and respond to enquiries on matters within the postholder’s responsibility
- Design new documents, where necessary, to improve the school’s effectiveness
- Attend any training deemed necessary in relation to the role
- Maintaining up to date records for all Secondary pupils on engage
- Mail merge letters to provide a more personalized service for parents and attached to DMS system
- Ensure all fire registers are up to date and accurate
- Perform other duties as requested by direct and dotted line reporting managers/ supervisors
- Supporting any hospitality needs for meetings and events and checking to make sure the venue is ready with all items before the event/ meeting.
Qualifications
Minimum Qualifications : Bachelor’s Degree in the related subject
Minimum Experience : At least 1 year of experience in a similar role
Job Specific Knowledge & Skills :
The successful candidate will require use of Microsoft Office, enthusiasm, initiative, flexibility, good interpersonal skills, motivation, resilience, patience, ability to work flexibly as a member of a team and ability to hit the ground running!
Applicants must be confident
Good literacy skills and an excellent command of both
