In this pivotal role, you will provide comprehensive administrative support to senior executives, ensuring seamless operations in a fast-paced environment.

You will manage complex calendars, support high-level project management, and act as a liaison between executives and various internal and external stakeholders. Your organizational skills and attention to detail will be crucial in maintaining the openness and efficiency of our executive operations.

Responsibilities

  • Administrative Support: Providing assistance and support to Legal Counsels in the department, including managing calendars, scheduling meetings, preparing documents, and handling correspondence.
  • Record-Keeping and Document Management: Maintaining accurate and organized records of legal documents, contracts, filings, and other important materials, Involve creating and maintaining filing systems, digital databases, and document management platforms.
  • Budgeting and Financial Management: Assisting with financial matters related to the department, such as monitoring budgets, processing invoices, tracking expenses, and coordinating with the finance or accounting team.
  • Resource Management: Managing department resources, including office supplies, equipment, software, and subscriptions. This may involve procurement, inventory management, and coordinating with relevant vendors.
  • Communication and Coordination: Facilitating effective communication within the department and with external stakeholders. This can include managing internal communications, coordinating meetings and events, and serving as a point of contact for inquiries or requests.
  • Project Coordination: Supporting the coordination and administration of legal projects, including tracking project timelines, milestones, and deliverables.
  • General Administrative Tasks: Handling day-to-day administrative duties, such as managing incoming and outgoing correspondence, coordinating travel arrangements, processing expense reports, and maintaining departmental calendars.

متطلبات الوظيفة

  • Associate or Bachelor's degree in Business Administration or a relevant field preferred.
  • 0-2 years of experience in an executive support, administrative or billing role.
  • Advanced knowledge of Microsoft Office Suite and other productivity tools.
  • Excellent organizational skills and attention to detail.
  • Strong written and verbal communication abilities.
  • Proven ability to manage multiple tasks and projects efficiently.
  • Ability to handle confidential information with integrity.
  • Strong relationship-building skills with the ability to work collaboratively across teams.
  • Experience in a high-level administrative capacity within the legal department.
  • Worked on any billing system
