Role Overview

As part of Investor Services team, the Lead - Document Controller role falls under the Operations function which aims to support all Investor Services functions by developing and maintaining investor-related content and executing back-end processes, contributing to delivery of service requests for investors in OXAGON.

Summary Requirements

  • Aconex workflows: Distribution, follow-up, and consolidation.
  • Template generation: Create and manage templates.
  • Internal workflows: Develop and maintain workflows.
  • Correspondence logs: Maintain logs and records.
  • DocuSign proficiency: Collect signatures.
  • Timely completion: Assist in completing requests.

ROLE COMPETENCIES & ACTIVITIES

The purpose of the Document Control Lead’s role is as follows:

  • Manage the intake, handling, and storage of documentation received by the Manufacturing & Innovation Department from Investors/Tenants and other stakeholders.
  • Manage Aconex workflows including distribution of design packages for review to the relevant stakeholders, follow up on issued / overdue comments, consolidation of comments and further close out.
  • Knowledge of ACONEX Workflow submittals and generating template.
  • Support in creating internal ACONEX Workflows/Sub-Workflows.
  • Maintain correspondence / transmittal logs and record documents flow to and from the relevant parties such as investors, tenants, stakeholders, main contractors, OXAGON internal stakeholders, etc.
  • Knowledge of DocuSign tool to collect signatures from authorized signatories on letters, interface agreements, traffic management plans, etc.
  • Develop, implement and maintain processes for document control within OXAGON.
  • Ensure all documentation meets formal requirements and required standards to ensure seamless review by relevant stakeholders.
  • Coordinate with the Investor Services team and other stakeholders to ensure all documents are accounted for and in the appropriate location.
  • Assist in the timely completion of investor requests, collaborating with relevant Investor Services functions and service delivery partners.
  • Archive all investor-related documents, organizing them to facilitate easy access across Investor Services functions.
  • Ensure proper organization and categorization of documents.
  • Retrieve files as needed.
  • Track and manage versions of documents.

The Document Control Lead’s responsibilities will include, but not be limited to:

Integration

Close coordination with NEOM Internal Stakeholders such as:

  • Investor Services functions
  • International Investments & Manufacturing teams
  • OXAGON DevCo teams
  • OXAGON Stakeholders
  • NEOM entities/ stakeholders
  • NEOM Interim Authority
  • Others as needed

Liaise with External Stakeholders such as:

  • OXAGON investors/tenants
  • Government and other external entities as required
  • Others as needed

Planning and Strategy

  • Ensure the strategic purpose and direction of the Document Control function is fit for purpose in supporting the aims of NEOM, OXAGON and the aims of OXAGON investors/tenants.
  • Ensure that transmittals / general correspondence trackers and Aconex are updated in line with supporting the aims of
  • NEOM, OXAGON and the aims of OXAGON investors/tenants

Leadership

  • Act as a respected and knowledgeable DC to positively position NEOM, OXAGON, and the Investor Services with their various stakeholders and audiences.
  • With appropriate direction from your manager and others, independently lead, manage, and drive forward your responsibilities that underpin the Operations function.
  • Proactively propose inputs that will appropriately evolve the Operations function to best support the aims of NEOM, OXAGON and its investors/ tenants.

Experience & Qualifications

Knowledge, Skills and Experience

  • Minimum of 5+ years' experience in a similar role
  • Hands-on experience with MS Office and MS Excel.
  • Excellent knowledge of ACONEX.
  • Proficient typing and editing skills.
  • Excellent organizational skills and attention to detail.
  • Strong communication skills.
  • Ability to maintain confidentiality regarding sensitive documents.
  • Able to work effectively in, and contribute to, a diverse and multicultural environment.
  • Exposure to the Saudi Arabian business environment is a plus.
  • Proven stakeholder management and networking capabilities.
  • Team player able to work in a highly matrixed organization.
  • Able to perform to high standards in a high-pressure, often fluid, and sometimes ambiguous and demanding environment.

Qualifications

  • A degree in business administration or a related field is preferred.
