Office Operations Coordination: Oversee daily operations of office facilities, including managing office supplies, maintenance, repairs, and safety inspections.
Site Visits: Conduct regular visits to office locations and accommodations to assess facilities, ensure compliance with health and safety regulations, and address any maintenance or operational issues.
Quotations & Estimations: Prepare detailed quotations and cost estimates for facility services, office repairs, and accommodation-related expenses.
Policy & Procedure Development: Develop and implement policies and procedures for office operations and accommodations, ensuring compliance with safety regulations and company standards.
Vendor & Contractor Liaison: Act as the main point of contact for external vendors, contractors, and service providers for office-related services, repairs, and accommodation management.
Facility Audits: Conduct audits across all office locations and accommodations to evaluate condition, safety, and compliance with regulations.
Record Management: Maintain detailed records of office maintenance, repairs, employee accommodation arrangements, and service agreements.
Emergency Response Procedures: Develop and implement emergency response procedures for both office spaces and employee accommodations to ensure safety.
Administrative Support: Provide essential administrative support, including managing work orders, overseeing daily office operations and maintaining office records.
Qualifications
Proven experience in office administration, facility management, or a related field.
Ability to manage both office spaces and employee accommodations effectively.
Strong organizational skills with attention to detail.
Excellent communication and interpersonal abilities to interact with vendors, contractors, and internal teams.
Knowledge of health and safety regulations related to office spaces and employee accommodations.
Proficiency in Microsoft Office Suite.
A valid driver’s license and reliable transportation to travel between office locations and accommodations as required.
